Executive Assistant (Corporate Sales)

Acts as an executive assistant for the Vice President, Field Sales and Installation.  Will also directly support the Director of Sales Subs.  Supports the Sales Sub leadership team and as appropriate.  Works under minimum supervision and performs a variety of administrative duties, including handling of confidential information, support of functional committees, utilization of various computer software systems, making visual and written support for presentations, composing assigned letters, report delivery, responsibility for calendar/daily planning and maintaining files.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.


Coordinates administrative responsibilities for the division.


Responsible for typing, proofing, and composing correspondence for the Vice President. 


Responsible for coordinating the onboarding tasks for new hires.


Arranges and administers appointments and meetings for the Vice President, including composition of interoffice correspondence for such.  Opens, sorts, and distributes all incoming departmental mail.


Assists with departmental report delivery


Coordinates and assists with functional committees and meetings


Answers the telephone and handles communication.  Screens incoming calls. 


Performs tasks necessary to support department functions and direct staff of Vice President. 


Responsible for development and administration for special projects as assigned to support the Vice President. 


Responsible for maintaining and updating various materials and/or manuals such as the Pella Corporation Policy and Procedures Manual.


Maintains and enhances Sharepoint site as needed.


Handles travel arrangements for the Vice President, including air and ground transportation, lodging, itinerary planning, and expense report creation and submission.


Coordinates arrangements to ensure successful internal and external meetings such as room reservations, meal selections and reservations, travel arrangements, presentation aids, etc.  Travels to special events as needed and requested.


Attends internal departmental meetings.


Serves on planning team for special projects. 


Develops visual and written support for both internal and external meetings.


Has writing, Microsoft Office and PowerPoint presentation development skills. Understands current technology and helps Vice President adapt quickly to new applications of technology.


Travel of up to 10% may be required.



This job has no supervisory responsibilities.

Associate's degree (A. A.) or equivalent from two-year college or technical school; Bachelor's degree (B.A.) from four-year college or university preferred; and one to two years related experience and/or training; or equivalent combination of education and experience.



Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization.  Ability to maintain confidentiality of sensitive information is essential. 



Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry.



Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.  Able to exercise good judgement to make decisions as needed to support the department.



Proficient in Outlook, Word, Excel and Power Point applications.  Knowledge of Sharepoint and Oracle systems a plus.
